UDIMagic v4.0 Release 1.3 now supports some new options in the UDIMagic.ini (configuration) file as shown underneath :-

2) While importing data into Tally, the Masters with same name (i.e. same master) are skipped by UDIMagic, by default. However, when data is to be imported into multiple Companies, we may require one Master to be imported into more than one companies. In such cases, you need to specify the MultipleCompanies=Yes in the UDIMagic configuration file

In Windows XP, you can set permissions on files so that specific users can access it. However, in certain cases when you Right click on the file and select Properties, you may notice that the Security tab is missing.

To get the Securities tab, follow the underneath steps :-
1. Open Windows Explorer, and choose Folder Options from the Tools menu.
2. On the View tab, scroll to the bottom of the Advanced Settings and Clear (click) the check box next to "Use Simple File Sharing."
3. Click OK to apply the change, and you should now have a Security tab when viewing the properties of a file on an NTFS volume.

The aforesaid error Date is Out of Range occurs if the voucher date is lesser than the Books beginning date given in the Tally Company.

A typical situation wherein the aforesaid occurs is shown underneath :-

a) The Books beginning date in Tally is 01/04/2011
b) The Voucher date in the Excel sheet is 09/01/2011

While importing data into Tally using UDIMagic, the error "Date 9-1-2011 is out of Range" appears. This is because the Voucher has DATE as 9-1-2011 (i.e. 9th January 2011)

Remarks:-
We have found that the said problem generally arises in cases where the Excel data is generated from some 3rd party application. Though the data generated by that application may be in dd-mm-yyyy format, it appears as mm-dd-yyyy in the Excel sheet. To rectify this, use option "Start - Settings - Control Panel - Regional and Language Options" and set the option as "English (United Kingdom)" instead of "English (United States)".

Localhost Vs 127.0.0.1

Localhost (this computer) is the standard hostname given to the address of the loopback interface of the Computer.

127.0.0.1
127.0.0.1 is a special purpose address reserved for use on each computer and is conventionally the computer's loopback address.

On modern systems, the Localhost as a hostname translates into 127.0.0.1 (IPv4 address). Generally, both Localhost and 127.0.0.1 can be used to access the local machine. However, if a Proxy Server is defined, then Localhost works fine, but 127.0.0.1 may create problems and may connect to the Proxy Server even though the option "Bypass proxy server for local addresses" is set on. Create dependent Masters in Tally

UDI-Magic v4.0 supports a new feature that allows you to specify whether Dependent Masters are to be created or not in Tally.

Usage:-
1) Open the UDIMAGIC.INI (configuration file) in Notepad.
2) Add the lines as shown below :-

The VBA Replace function is very useful for manipulating Excel data at runtime. In certain cases, where the Excel data is generated from 3rd party softwares, we faced certain issues. Example, the Amount was displayed in TEXT format and included comma separator like 1,50,000.00. We used the VBA Replace function to remove the commas and then convert the value to Numeric.

Solution:-
In Excel 2007, the default setting for Recalculation of formulas is AUTOMATIC. We need to change it to MANUAL initially before making changes in the Excel sheet at run-time and the reset it to the Automatic at the end.

Failed to fetch Tally data

The aforesaid error Failed to fetch Tally data appears if the Tally License Server and Tally Software both are running on the same Port.

Solution :-
1) In Tally Software, press F12 and select option Advanced Confiuration
2) Next, set the Port to a different than the current Port, say 9001 or 9002.
3) Save it using Ctrl+A. The new Port settings will be visible in the Gateway of Tally.
4) Next, start UDIMagic and in the 2nd screen, click on the Settings button and set the Port as assigned in Tally Software in point 2.
5) Next, in UDIMagic 3rd screen, click on the "Test Connection" button to test connection with Tally Software.

In brief

Internet Explorer Work Offline mode

If you are using Single User Tally and if you get the above error message while importing data into Tally using UDI-Magic, then follow the underneath steps :-

1) Select "Start >> Settings >> Control Panel >> Administrative Tools >> Services"
2) Next, search/select "Tally License Server".
3) Right-click on it and select "Properties".
4) If the service is "Started", then click on the STOP button.

5) Next, change the "Startup Type" to Disabled.

6) Click on "Apply" and then OK

7) Restart Tally and open your Company

8) Restart UDI-Magic and try importing data into Tally

Upload Status of each Record

UDIMagic v3.0 Release 2.4 now provides facility to view the upload status of each record (Log Status). This is useful in finding the duplicate records or records with error, particularly while uploading of Master-records into the Tally Software.

By default, the Upload Status is shown in the last two Column(s) of the Excel sheet as given below :-

Column IU (i.e. Column No 255 of Excel sheet)
Upload status us shown as CREATED, ALTERED, IGNORED, COMBINED, ERROR.

Column IV (i.e. Column No 256 of Excel sheet)
Contains the Error description, if any.

PS:
1) You can change the Column in which the Upload Status appears by setting the following option in the "c:\udi-magic\udimagic.ini" file

Updating existing Masters data

You can use UDIMagic to update existing Master records in Tally including updation of User-defined Fields (created using TDL).

Access Computer by Name

In the UDIMagic "Settings" screen, you can specify the Computer Name instead of the IP -Address. This is generally required when Tally is running on a different machine and the IP-Address is generated dynamically and changes each time you start the Computer.

Follow the underneath steps to specify the "ComputerName" instead of the "IP-Address" :-

1) Go to "Control Panel >> System"
2) Click on the tab "Computer-Name" and note down the "FullComputerName".

3) Next, start UDIMagic and in the "Settings" screen, specify the "ComputerName" instead of the IP-Address (the default ip-address is 127.0.0.1)
4) Next, click on the "Save".
5) Next, click on the "Test Connection" button to test-connect to Tally.

UDIMagic License Server
On the same lines, you can specify the ComputerName instead of the IP-Address for the UDIMagic License Server also.

Unable to change the number of DECIMAL Places in UNIT MASTER

In case, if you ever tried to change the number of DECIMAL places in the UNIT MASTER, (wherein voucher data exists for the same) you may have noticed that the DECIMAL places field appears disabled. Follow the underneath steps to change the DECIMAL places if the field has been disabled :-

1) Create a NEW Company in Tally
2) Next, create the UOM (Unit of Measurement) for which you need to change the DECIMAL Places. Set the Decimal places as required.
3) Close the NEW Company.

4) Open your original Company which contains data.
5) Next, export all Masters (Option : Gateway of Tally >> Display >> List of Accounts >> Alt+E". Next select the option "All Masters" and "XML" format. This will export the Masters data into "MASTER.XML" file
6) Next, export all Vouchers (Option : Gateway of Tally >> Display >> Daybook >> Alt+E". This will export the Vouchers data into "DAYBOOK.XML" file
7) Close the original Company

8) Open the NEW Company that you created in Step 1
9) Use option "Import of Data >> Masters". Specify the MASTER.XML with full-path and select option "Ignore duplicates"
10) Use option "Import of Data >> Vouchers". Specify the DAYBOOK.XML with full-path.

This way all data from your original Company is transferred into the NEW Company having necessary DECIMAL places in the UOM (as changed in Step 2).

Tally ERP 9 Release 1.51

We have recently noticed some issues in Tally ERP 9 Release 1.51 which probably seems to be a BUG in this Release (i.e. Release 1.51)

BUG:
When a request is sent to push/pull data, the Tally Software terminates with the following message :-

PS:
Though it prima-facie appears to be BUG (according to us), it has NOT yet been confirmed by Tally Solutions, Bangalore.

Tally ERP 9 Release 1.5 issues

While importing Masters into Tally ERP 9, we have noticed some issues. The tests that we performed on different versions of Tally are given underneath :-

Tally 7.2 Release 3.12
1) Start UDIMagic and import the "Master - StockItem Master Excel sheet" data into Tally. This will import 2 stock-items into Tally.
2) Once again import the same data into Tally. There is no ERROR. As these records already exist in Tally, they are modified /overwritten.

Tally 9 Release 2.14
1) Start UDIMagic and import the "Master - StockItem Master Excel sheet" data into Tally. This will import 2 stock-items into Tally.
2) Once again import the same data into Tally. There is no ERROR. As these records already exist in Tally, they are modified /overwritten.

Tally ERP 9 Release 1.5
1) Start UDIMagic and import the "Master - StockItem Master Excel sheet" data into Tally. This will import 2 stock-items into Tally.
2) Once again import the same data into Tally. There is an ERROR message which says that these records are already there.

To solve the issue with Tally ERP 9, you must add the following option in the UDIMAGIC.INI file.

IgnoreDuplicateMasters=Yes

PS:
The option IgnoreDuplicateMasters=Yes must be added directly under the Heading [UDIMAGIC]

Slow uploading of data into Tally ERP 9

Tally ERP 9 Speed Issues

In case, if you are using Tally ERP 9 and are importing data into your existing Tally Company which contains hundreds or thousands of Masters (Ledger Masters or StockItem Masters), you may experience very slow speed while processing of Masters.

Solution
UDIMagic v3.0 Release 1.97 uses a different technique to process the Masters records. This eliminates the use of SELECT SQL and results in improved performance.

If you are using Tally ERP 9 and experiencing slow speeds, please follow these steps :-

1) Upgrade to UDIMagic v3.0 Release 1.97 (or higher)
2) Make the following changes in the UDIMAGIC.INI (configuration file)

IgnoreDuplicateMasters=Yes

3) Save the UDIMAGIC.INI file and retry importing data into Tally ERP 9 using UDIMagic.

UDIMagic v3.0 Release 1.90 provides a new configuration-setting for "Treatment of entries already existing in Tally".

In simple words, you can specify how the existing Vouchers in Tally are handled by UDIMagic. i.e. whether the :-
a) Vouchers must be overwritten, if they already exist in Tally Software or;
b) Vouchers must be SKIPPED, if they already exist in Tally Software

STEPS

UDIMagic v3.0 Release 1.81 supports a new tag named <OLDNAME>

The tag <OLDNAME> when used along with the tag <NAME>, allows you to modify NAME's of existing MASTER-records in Tally.

Here's a sample Excel sheet which contains StockItem Master-records wherein we have OLD-Names in Column-B and NEW-Names in Column A. The objective is to replace the StockItem Master-records having OLD-Names with the NEW-Names.

And here are the XML tags to update / modify the STOCKITEM Master records with the NEW-Names.

Debugging with UDI-Magic

Before we proceed with the task-on-hand, let's have a look at what way the UDI-Magic software functions.

UDI-Magic functionality
UDI-Magic is an EDI (Electronic Data interchange) tool that facilitates and involves the following :-

1) Extract data from a data-source (herein MS-Excel)
2) Transform the data
3) Load it into the target (herein the Tally Accounting Software database)

Debugging with UDI-Magic
"Debugging with UDI-Magic" relates to the 3rd step (i.e. Load) in the Extract, Transform and Load method. At times (generally in case of errors) , we may need to see what is being uploaded into the Tally Software. UDI-Magic allows you to send the data into a file simultaneously as it is being uploaded into Tally. The steps for enabling debugging in UDI-Magic are given below :-

Step 1
Open the UDIMagic.ini (configuration file) using Notepad. This file is their in the "c:\udi-magic" folder.

Step 2
Search for heading [UDIMAGIC] and add the option "RedirectXMLTagsToFile=Yes" under it.

Here's how it must appear in your UDIMagic.ini file

[UDIMAGIC]
RedirectXMLTagsToFile=Yes

Remarks:-
1) There may be several other options under the [UDIMAGIC] heading in your INI file. Herein, we have just shown the RedirectXMLTagsToFile=Yes option which is required for Debugging.
2) Setting the option RedirectXMLTagsToFile=Yes will generate a file named xmltags.xml in "c:\udi-magic" folder (or where udimagic is installed)
3) Always remember to turn off this feature when you finish debugging as this will slow-down the process of uploading the data into Tally.

You can use NOTEPAD to view the file xmltags.xml which contains the XML-tags for all the records that are uploaded into Tally.

FAQs: Tally-to-Tally

While using the UDIMagic Tally-to-Tally feature to transfer "Sales vouchers" from source-company as "Purchase vouchers" into the destination-company, I get the following error :-

XML tags <SVCURRENTCOMPANY> not found.

Cause of Error:-
The aforesaid generally occurs when you have NOT specified the UDIMagic TCP file in your Tally.ini file.

Solution:-
Open the Tally.ini (which is there in Tally folder) and add the following lines depending upon Tally version you are using.

The above error generally errors when incorrect field-name is specified in the SQL-SELECT statement.

Solution:-
1) Check (and rectify) the field-name(s) specified in the SQL-SELECT statement.
2) Also ensure that you have specified the correct folder-name which contains the DBF's from which data is to be imported into Tally. The steps to specify the folder-name are as follows :-

Batch Processing
UDIMagic v3.0 Release 1.67 supports "Batch Processing". In simple words, it allows you to "Import of data from multiple Excel sheets" in one-go.

In UDIMagic v3.0 Release 1.64, the Branch to Head Office feature supports data transformation also. Here are some examples of data transformation :-

Example 1 : Transform Sales vouchers as "Branch Sales"
Assuming that at your Branch Office, "Sales" vouchers are entered. Your requirement is that when the Branch-data is imported into the Head Office Tally, it must be imported as "Branch Sales" vouchers.

Example 2: Import specific Voucher-types only
At you Branch-Office, various type of entries like "Sales", "Receipt", "Payment" etc are done in Tally. You need to import the Branch-Office data in your Head-Office Tally, but only the "Sales" entries are to be imported, that too as "Branch Sales".

FAQ's - Excel to Tally

I am using UDI-Magic to import data into Tally. Even though I have started Tally and opened one Company, UDI-Magic still shows error message "No company is opened in Tally". How do I solve this problem ?

Temporary Solution

Those who are using UDI-Magic Demo for evaluation purpose, are requested to follow these steps :-

1) Close the Tally Software.
2) Next, press Ctrl+Alt+Del.
3) Next select "Task Manager"
4) Next, search for Tally9.exe (or Tally72.exe under processes-tab) and click on the End-Process button to close it.
5) Next, search for TallyLicServer.exe (under processes-tab) and click on the End-Process button to close it.
6) Next, start Tally Software and open your Company.
7) Run UDI-Magic and try importing data in Tally Software.

Remarks:-
Re-start the Computer afterwards so that workstations can access the Tally-license Server which we had terminated manually.

"How is the mapping of Excel sheet cells done with the Tally fields ?"

UDIMagic uses XML tags for mapping Excel Sheet cells with the Tally fields. The XML tags can be written using any text-editor like NOTEPAD.

There are two ways of writing XML tags viz
1) In the Comments of Cell A1 (or any other cell in 1st row) in the Excel sheet itself
2) In a separate file with extension XML.

For those who are totally new to XML, initially it may be difficult to digest all these things. But then, it is not very difficult.

FAQs

I am having X records (say 10,000 records) in my Excel Sheet. I am using the licensed version of UDI Magic. However, UDI Magic processes only few records (say 100 records). What could be the reason ?

It is likely that your Excel Sheet has a BLANK-ROW or HIDDEN-ROW at or near the ROW-number 100 in the Excel Sheet. Remove that and try again. It should work.

PS:
1) UDI Magic stops processing if it finds a BLANK-ROW or a HIDDEN-ROW.
2) If you are using DEMO version of UDI Magic, then only 5 or 10 records (Vouchers and Masters resp.) shall be processed.

UDIMagic v3.0 Release 1.62 allows you to transform (Branch office) data before importing it into Head-Office Tally Accounting Software.

Branch Office
Assuming, you have a Branch Office wherein Accounting is done in Tally. Here, at the Branch Office, only SALES vouchers entries are done. Now, you need to transfer the Branch Office data to Head-Office.

Head Office
At the Head-Office, you need to maintain consolidated data and hence will be importing the Branch-office data into the Head-Office (Tally). However, you want that the SALES vouchers (of Branch Office) be transformed/renamed as "BRANCH SALES" and then the same to be imported into the Head-Office Tally.

In simple words, this allows you to have TWO different Sales Voucher-types. i.e. one for Head-Office Sales and another for Branch-Office sales (BRANCH SALES voucher-type).

UDIMagic v3.0 Release 1.62 allows you to apply transformation rules to the Branch Office data before importing it at Head-Office. This allows you to do almost anything as per your requirement.

Import selected data into Tally

UDIMagic - Excel to Tally

The UDIMagic v3.0 Release 1.61
allows you to import specific rows from MS-Excel into Tally Software.

To import part-data, you need to specify the FROM and TO rows.

By default, all rows are processed by UDIMagic. However, UDIMagic stops processing when it finds a BLANK row or a HIDDEN row.
